With the impending arrival of the 2013 blizzard please look at the attached link.  http://mashable.com/2012/07/03/charging-solutions/ about some ways you may be able to recharge your devices in the event you lose power. (If you are charging your phone inside a garage make sure the garage door is opened.) Cell phone towers may be down and you may lose internet service but keep in mind that most smartphones have a built in light that could come in handy during these times.  Also at this time if you are not using your cellphone, keep it charged. Use your phone as sparingly as possible to preserve power.  Dim the display on your smartphone to preserve power.  On a personal note, since I will not be using my cellphone during the evening I will be turning it off to preserve my battery in case we lose power.  Also use text messaging to reach out as this is likely to be more successful.  One thing people did after Hurricane Sandy was to use wireless networks where free Wi-Fi is offered such as Starbucks (inside or outside).

Before retiring, it will be a good idea to disconnect electrical power to televisions, computers, printers, etc.  Have copies of any prescriptions.  Use a smartphone if you have one or a phone with a camera to take a picture of them.

If you bank online, you may want to make sure that all bills that need to be paid in the next several days are accounted for and that you have money in your accounts to cover any recurring and other payments that you have set up.  If you lose power, you may not be able to pay these bills and transfer money between accounts till power is restored.

Most of all be safe.  Unless you absolutely have to go out, stay indoors.  Being safe is of utmost importance. Use common sense.  Fill up water bottles, tea pots, etc..

In today’s world, time management is something that we all need to do and do well.  This is just one of the reasons why Google Calendar is the preferred online calendar of many. It syncs with my smartphone as well and I also can add, delete or change appointments there as well.

Google Calendar allows you to set up multiple calendars using one ID. You make the choice of which calendars you wish to see at a given time. You are able to have a calendar for business, personal, travel, etc. with different sharing settings for each. You can share your calendar with anyone having a Google account. Other calendars allow those you share with to view only or also edit. With Google Calendar I can decide what they will view.  Do they just see whether I am busy or free, or do they see the event as well? I can decide. I further can allow others to decide who a calendar is shared with.  For example I have an appointment calendar.  My wife is able to see the details of this calendar but cannot make changes.  My son can only see if I am free or busy. He does not see the details. I also have a Travel Calendar for events my wife and I have planned for when we travel. Both of us can edit that calendar and make changes as needed. My wife can also decide to share that calendar with others. I also can make any of my calendars public if I so choose. If a calendar is made public, it will appear in a Google search where appropriate. My wife can view my appointment calendar and I can view hers.  Recently friends of ours purchased tickets for a show not realizing that one of them had made plans for that evening. When my wife and I are making plans, we check both our own and each other’s calendar to see whether or not the other has plans for the date and time in question.

I like the feature of when I enter an event I put the address of the event in the "Where" field. Clicking on that field will bring up the location in Google Maps. Since Google Calendar syncs to my smartphone, this could be a stress saver if I get lost as I can get directions on my smartphone wherever I am.

It is a great calendar for scheduling a get together as well as inviting people to an event whether or not they use Google Calendar. You invite them directly from Google Calendar without emailing them through Gmail. The options to respond are the standard "Yes", "No", or "Maybe".  In addition, for the "Yes" response there is a field to indicate if you are bringing a guest as well as the name of the guest.

Need to quickly add an event?  Use the quick add feature. Type in the event, date and time and Google calendar automatically adds it.  Type in an email address and an invitation is sent to that email address. Do the same from your phone by texting 48368 and Google calendar automatically adds the event to your calendar. You also can add “interesting” calendars such as a schedule any or all of your favorite sports teams, national and/or religious holidays.

Another feature of Google Calendar that I like is appointment slots.  Appointment slots allows you to set aside period of time on your calendar at preselected intervals for others to schedule appointments.     For example a college professor can set aside Tuesday between the hours of 1-4 PM at ½ hour intervals for those also having Google Calendar to reserve time on your calendar.

One last thing here.  I do not erase events after they take place.  It is maintained on Google’s servers and takes up negligible space on your smartphone.  A lawyer friend of mine has a client of his who is being audited and erased events as they were completed.  Had they not been erased, the client would not have to go through hoops to recreate his Travel and Entertainment events. It would be right on his calendar and he would have a lot more time and money.

You need to have a Google account to access and use the calendar.  If you are not already using it give it a try. You may want to check out some of their features such as Year view, Jump to date and World clock. Its ease and convenience are why it the preferred calendar of many. You too may change calendars.

More and more people are doing some or all of their holiday shopping online.  It can be exciting to see all the online bargains that are out there.  Shopping online can be safe if you follow the online safety tips below:

1.    Make sure your security software which includes anti-virus protection is up to date.  Not having up to date security makes you an easy target for viruses and other unwanted intrusions.

2.    Only shop at a secure site.  A secure site has “https” at the beginning of its website address.  “https” means that the site is secure and that it encrypts the information that it sends. 

3.    Don’t use a public wireless network.  In the event there is a keystroke logger on that public computer you are using or sniffer intercepting data over a public Wi-Fi network you do not want to put information out there that can compromise your personal information. 4.    Use credit cards instead of debit cards. Credit cards offer a much better level of protection when compared to debit cards. Further a debit card may put a freeze on your bank account that is in excess of the amount you are purchasing.

5.    Always monitor your account statements to ascertain that there are no unauthorized charges to your account.  An aside here is to NEVER give out personal information should you receive a phone call, email, letter, etc mentioning that there is an issue with your account.  Hang up (if it is a phone call) and call the number on the back of your credit card.  The person calling could be trying to get personal information from you in order to steal your identity. 

6.    As more and more purchases are being made from mobile devices, password protect your smartphone and/or tablet. Should it fall into the wrong hands, personal information is much more difficult to get.

7.    Don’t let browsers store passwords for you.  Further you should have a different password for every account you use and the passwords should be difficult to crack. 8.    Don’t use public computers.  They are only as safe as the security the computer is using. Again see my post on computer safety in public. http://computerconciergeny.com/3/post/2012/09/computer-safety-in-public.html  
If you still decide to use a public terminal make sure that you log out after using it.

9.    Phishing scams are more common at holiday time.  If you receive an email saying that personal information is needed (passwords, social security numbers, birthdate, etc) do not give this information out.  Someone may be trying to steal your identity.

10.    Many credit cards offer a temporary credit card that allows you to set an amount and timeframe for using it.  Think about using one from your credit card provider if they offer it. 

11.    Don’t click on links in emails as they may not take you to the site you think you are being taken to. Many phishing scams involve emails from what seem like legitimate sites such as banks, online stores, etc  but actually send you to a phony site where they can gather your information to steal your identity.

12.    For those who are still concerned about shopping online, when you go to a restaurant do you pay by credit card?  If so, that card goes through your waiter, cashier and who knows who else.  There are a few chances to get the information needed to charge purchases to the card.

One last thing.  Trust your gut feeling.  If something appears shady during any part of the purchase process it very well may be, do not complete the transaction.  Leave the site.

So you may have heard that Microsoft recently released the much anticipated Windows 8 operating system. It sure doesn’t look like those previous operating systems of Windows that you have seen. Don’t despair since Windows 8 was made with the future in mind as it works well with touchscreens and you will be seeing more touchscreen personal computers over the next few months.

One of the first things you will notice is that there is no start tab. You’re wondering how to turn the computer off. Going to either the upper or lower right hand corner will bring up a bar known as the charms bar. The bottom icon there that looks like a cog a bicycle chain goes around is the Settings icon. Either click on it or if you have a touchscreen tap it and you will see the Power icon at the bottom. Select that and select “Sleep” “Restart” or “Shut Down”.  You no longer are wondering how to shut your computer off.

You also by now have probably noticed that the screen instead of showing the familiar icons on your desktop show tiles. Each of these tiles represents an app (Programs are now referred to as apps like the apps on your smartphone and your friend’s Mac programs which are also referred to as apps). Some of these apps show information. The weather tile shows the weather for the location noted. You can put a calculator app to do arithmetic operations. One great thing about this new screen is if you are looking for a file, setting, or app just start typing the name of it. Once you start the search screen will show. You can see where your search query for apps, settings, files. Also expect to see more Windows 8 phones out there in the next few months. Don’t despair about not seeing a desktop. There is a desktop tile. By tapping it if you have a touchscreen or moving your mouse to it and left clicking, the old traditional desktop (without the start tab) will show.

One disadvantage of the new Windows 8 is when you go to delete a file there is no longer a confirmation asking if you wish to do so.  No last chance to change your mind. However all is not lost. By going to the recycle bin and right-clicking on it, choose Properties, and check the "Display Delete Confirmation Dialog" box. You now will have that last chance to make sure that you truly want to delete that file.  Another disadvantage is a longer learning curve going to a new operating system. The advantages however outweigh the disadvantages.

So should you upgrade to Windows 8? Windows 8 Pro is available for $39.99 but that is only until January 31, 2013. Unless you are upgrading from Windows 7 you will need to reinstall your apps. I upgraded due to business considerations since I will be setting up new computers that use Windows 8 and training people to use it. There is the learning curve I mentioned earlier and you need to get used to not having a start tab. File Explorer (formerly Windows Explorer), is a lot more user friendly, security is improved and boot time is faster making it a possible investment if you are still using Windows Vista or Windows XP. That said, given the age of your computer if you are using XP or Vista, replacing your computer may be a more feasible option. If you have XP or Vista currently, while Windows 8 requires a minimum of a 1GHz processor I would recommend a minimum of 2 GHz. Other than the tiled apps, there is not a real big change between Windows 7 and Windows 8.

If you are having a problem with your computer, someone elsewhere can view your screen and remotely control your computer temporarily to fix the problem. Join.me is a good program to use for this purpose.  I have used it to help others fix their computer problems as well as show them how to better use their computer. It is very user friendly, easily installed in under a minute and no account setup is needed.  There is both a free and pro version.  I personally have not found a need for the pro version which currently costs $149 annually or $19 if you choose to use it by the month.  For either version you can send files between all users.  Note that if you are not connected to the internet you cannot use this or any other program to share your computer with someone remotely or to view someone else's. You also have the ability to talk online or have an online chat using Join.me as well.  As mentioned, the whole process of downloading the Join.me program and placing the toolbar on your computer takes under a minute.  When you first go to Join.me you will see a screen that looks similar to the one below.  Under, "share your screen" click on "basic" and then click on the orange arrow key.  This will begin your download.  Follow the prompts and the Join.me toolbar will be in the upper middle of your screen.  If you need to view someone else's screen enter the 9 digit code that the person sharing your screen gives to you and press the green arrow.

By just sharing your screen, you can use Join.me for doing a presentation as well.  It is more than just a program to use if you have a computer problem or to solve someone else’s. I also know of a husband and wife who reviewed travel plans using it when one of them was out of town.  These are just by using the free version.  The pro version offers you such features as presenter swap, meeting scheduler and international conference lines. Whether or not you feel a need to use the pro version is up to you but as you can see, the free version has some good uses.

I was talking with a client the other day who is in the market for a new computer.  He currently has an older computer, is a PC owner and is thinking about buying a Mac this time around.  Wondering whether to go the Mac route or buy a PC again.  It is a question I get on an ongoing basis.

There are advantages to both.  Approximately 12% of computers in use today are Macs and PCs (Microsoft Operating System) account for 85% and 3% are other.  A big factor is cost.  If you buy a Mac expect to pay a premium for it.  This is because Microsoft licenses its operating system to Dell, HP, Lenovo among others so there is competition.  If you wish to buy a Mac, Apple is the only manufacturer. 


You also have more varieties to choose from when you are choosing a PC as the same companies Microsoft licenses its operating system to build their own models.

Macs are not as prone to viruses and other forms of malware.  Note that I did not say you cannot get a virus on a Mac. Those who program viruses are less likely to make them to affect a Mac due to their market share.  When they asked Willie Sutton why he robbed banks he responded, "Because that's where the money is."  Why go after 12% of the market when you can go after 85%? In April 2012 Kaspersky noted that Mac’s platform was a decade behind Microsoft’s when it came to computer security. Link for article.  Again the lower market share is why Macs are not as prone to viruses.

Apple is known for their exceptional customer service.  Their Genius Bar provides free technical support in person. Apple also offers free training as well again in person.  I also suggest if you are buying a Mac you purchase an Apple Care plan.  It is an extended warranty plan for both your computer and questions you have related to using it. The costs to repair a Mac are higher than repairing a PC.

The gap has greatly lessened for these two factors but the availability of software programs for PCs is greater than for Macs.  On the other side, Macs are easier to use as well as quicker to start up and shut down.  That said, Windows has greatly narrowed the gap here and will be coming out with their new operating system Windows8 in October.  Apple last updated their operating system in late July of this year.

In determining whether a Mac or PC is for you these are some of the factors to consider. Every situation is different so I cannot give a one size fits all answer. Microsoft recently announced that their new version of Microsoft Office likely to be named Microsoft Office 2013 will be released early next year.  As previous, there are likely to be different prices depending on which version purchased. Using the current prices of Microsoft Office 2010 at Staples you can pay as little as $119.99 or as much as $499.99. The price is influenced by whether you are purchasing a CD, the version being purchased and how many machines it is licensed for.

Microsoft Office is the best known and the best office suite software. It also is the most expensive. There are free alternatives to Microsoft Office that are compatible with Microsoft Office applications. The three main ones are Google Drive, Libre Office and Open Office.  Each has their own features and you would need to determine which is best for you if you choose to go the free route.

Google Drive formerly Google Docs is web based and requires you to have a Google account.  You can use it when you are not online but there are certain constraints that you need to follow.  For one you need to be using the Google Chrome browser. This should not be an issue because many (myself included) view Google Chrome as the best browser out there for accessing the internet. It is great for sharing files whether it is with selected people or with everyone.  You can choose whether people can only view the file or edit it as well. You can collaborate in real time with others who have editing privileges as they can change the file contents while you are also working on it.

Libre Office first launched in September 2010 is the new kid on the block.  When Open Office was purchased by Sun there was concern that Open Office would take a different path and perhaps not be free. This led to Libre Office.  While there are many similarities, you can edit files in a Portable Document Format (PDF) in Libre Office but not Open Office or even Microsoft Office.  It is not the most user friendly interface to do so but it can be done. Libre Office and Open Office have components for spreadsheets, presentations, graphics, word procession and database. Google Drive does not currently support a data base application among its components.

Open Office is in essence the predecessor to Libre Office.  As mentioned previous when Oracle purchased Open Office there was concern over the future direction of it.  In 2011 Oracle donated Open Office to the Apache Software Foundation. There are many similarities between Open Office and Libre Office as noted above. Open Office is easier to download but you cannot edit PDF files using it.  The interfaces for both are similar to Microsoft Office (MS Office). Open Office offers more Templates on its site than Libre Office but Libre Office offers more functionality by offering extensions. Per Wikipedia some notable users of Open Office are Singapore’s Ministry of Defense, and Banco do Brasil.
  
So do you continue to use Microsoft Office or do you switch and if so which do you use?  From a personal standpoint being a power user who also uses Microsoft Office in my line of work as I now am also creating customized Excel spreadsheets I will continue using Microsoft Office.  If you are not a power user of Microsoft Office and do not need to use it for work, using a free version is a viable alternative. The free versions offer approximately 75-90% of the features  offered by MS Office. The features not offered in the free versions tend to be more advanced.  I also find the three programs noted user friendly.  The more expensive versions of MS Office include Outlook, Publisher, Access and OneNote.  Access is a database program as Base in both Open Office and Libre Office are as well.  Draw is an alternative to Publisher again in both Open Office and Libre Office.  There are good free alternatives to OneNote and Outlook as well.

What would happen on a trip if you were to lose your passport, credit cards, driver's license, etc?  I find it to be a good idea to scan all except the credit cards and then save it as a word file using Microsoft Word (MS Word).  As for the credit cards, I make a list of that using MS Excel. I have the name of the card in one column and the card number in another column. You can also do a list in MS Word.  Using MS Excel is a personal preference. 

In saving these files I make sure to password protect them. Since the method to password protect a file differs by program used and version of that program you need to go to the help section to determine how to password protect the file. I then email the file to myself. What I am doing here is adding an extra layer of security to information that if it fell into the wrong hands would make me more susceptible to identity theft. One would need to know both my email password as well as the password I am using to protect the respective files that contain this sensitive data. I would suggest making the passwords for your email and files different.

One does not have to limit to just credit cards, passport and drivers license. Scanning current drug prescriptions you are using and saving them to a word type file is another good idea where you have a copy of the prescription. This way if you were to lose the prescription drugs you had packed, you should have an easier time refilling it. You can also put the numbers of your travelers checks in a file as well. I also keep my phonebook in my Google contacts list so should I need a number I can get it wherever I have an internet connection which would include my smartphone.

Doing all of these is not a magic bullet should you have a loss. It will however make it easier to travel and in the case of a passport get a replacement more easily in the event of losing any important documents. I would also suggest that you avoid using an unsecured public wireless network to obtain any of this. If you have a smartphone, you can likely access this information using it. That said another way to store your files is if you are using a syncing program likeDropbox or Sugarsync. You can log onto the one you are using to access the information in question. I will suggest here that you do not save this information on the hard drive of any computers you may be travelling with. Better that it is in the cloud where the data and you are not in the same place. Also should your computer get lost or stolen, you can still access it from another computer. If anyone is interested in opening a Dropbox account let me know before setting up your account. I will send you an invite to join Dropbox and both of us will get an extra 250mb of free storage. A win/win for both of us. Note: as I mentioned in my blog last week, you cannot upload or save a password protected file in Google Docs.

Hopefully you will never need to access these files in an emergency.  However, having them in an emergency can make your life easier when it occurs.
 
 
Sooner or later you will find yourself in the market for a new computer. It could be a replacement for an existing computer, your first computer purchase (not likely if you are reading this), or an additional computer.

When that time comes you need to keep a few things in mind. The first is probably what will you be using your computer for? Will you use it for word processing, surfing the net, photos, etc? While you need to realize your use may change as your computer usage evolves, you should not purchase much more of a computer than what you will need. Don’t purchase a computer that is suited for games when you will only be doing surfing and word processing.

You should get the most recent operating system provided it has been around long enough to work the bugs out. Usually the operating system should be out a few months.


Consider your space requirements and where you will primarily be using it. If you live in a small apartment, will you have space for a desktop? Would a large laptop (11” and up screen) that is considered a desktop replacement be more suitable? If you have a desktop, you likely will not be moving it around much if at all as it involves a tower. Also keep in mind if you are purchasing a laptop, a bigger one tends to be less expensive.


With that in mind, if you are purchasing a laptop you need to know again how you will use it. If you will be travelling with it often, you should consider a smaller one. You also need to realize that the keyboard is not a standard keyboard that you would find with a desktop. You can buy an external mouse and keyboard to use with your computer but this will take up space in your computer bag which you should get if you are buying a laptop. If you are getting either an external mouse or keyboard, get the mouse. It is more value added to a laptop than the keyboard as far as speed is concerned.


Also note that more and more laptops these days come with a cam for videoconferencing.

You also have 3 other aspects to consider. Note that the minimums given are as of now and will change as technology changes. Random access memory (RAM), processing speed, and hard drive size. RAM is the most important. It is the memory used when your computer is on. Once your computer is turned off, this memory is no more. It is sometimes referred to temporary memory. The more RAM, the faster your computer operates and this is the most important of the 3 components. It is where the operating system all opened programs, and current data used are stored. Your minimum RAM should be 2GB and if money is not an issue, a minimum of 4GB. You also need to consider your hard drive size. Think of this as the drawer space for keeping clothes. It is your permanent memory as opposed to RAM memory. You should have a minimum of 160 GB of hard drive storage. If you will be storing, pictures, video, audio streams, you will need more depending on how much you plan to store. Processing speed is the speed of your computer. You do not need to get the fastest processing speed available. You should get 2nd or 3rd fastest. You will not notice the difference and you will appreciate the savings.

The next issue is MAC vs PC. There is a greater availability of software for a PC than a MAC but this gap is a lot less than it used to be. There are other factors to consider however. See below:


MAC Advantages

1. Not as Prone to Viruses.

2. Less Issues of Breakdown – also quicker to start up and shut down.

3. Excellent training. A lot is free.

4. Better maintenance and customer service.

5. Easier to use. However Windows 7 operating system has greatly narrowed this gap. It is competitive with MAC’s Snow Leopard Operating System.

PC Advantages

1. Owned by 90% of people and businesses.

2. More varieties (HP, Dell, etc).

3. Less expensive especially laptops.

4. More for businesses especially since more availability of software as noted.

Last but not least if you are buying a desktop, think about the screen size of your monitor. Again space considerations come into play.


By doing a little research into your needs and space availability you will be able to get a computer that works best for you.

 
 
Just like we all or at least should do an oil change every 3,000 miles to keep our cars running properly and go for an annual physical exam so that we are healthy and stay that way, we also need to do preventive maintenance on our computers.  We need to be proactive with our computers, cars, ourselves, etc.  Here are a few computer maintenance tips that will help increase the life of your computer:

  1. Defragmenting your hard drive - This reorganizes the files on your hard drive that allows them to be accessed more efficiently. This should be done on a weekly basis.  If it is not done, your computer will operate at a notably slower  pace.  Go into your "Start" tab select "All Programs" then "Accessories", "System Tools", "Disk Defragmenter".  This can be set to run automatically.  "My Defrag" and "Defraggler" are free programs that will also defrag your computer.  Norton Systemworks is a security suite that offers defragging and can be purchased online and at stores. 
  2. Your computer also accumulates files that you no longer need. These are files such as temporary internet files, deleted files in your recycle bin and windows temporary files.  To clean up unneeded files, go to your start menu.  In the search bar type in ""Disk cleanup" and select  the Disk Cleanup program shown on top.  The program will scan for files that can be safely deleted.  Select those files you wish to delete and select OK to delete.  This should be done on a weekly basis as well.  A free program CCleaner can be downloaded that will perform this and I recommend this program. 
  3. Backup, Backup, Backup.  I cannot say this enough.  I recently did a blog about backing up data.  http://computerconciergeny.com/3/post/2010/06/back-up-back-up-back-up.html.  80% of computer users do not have backup software installed on their computer.  This is a cheap insurance policy against data loss.  Recovering data on your hard drive from a data recovery service will run about $500 minimum up to a few thousand. Recovery is not guaranteed. One service also prices out by emergency service which is 24 hours; priority service which is 3 days; and standard service which is 2 weeks turnaround time. If you want 24 hour turnaround you will pay for that level of service.  As I noted in my last blog, Dropbox can be used to back up your data as well in the cloud as well as to other computers. http://computerconciergeny.com/3/post/2010/06/dropbox-a-real-good-program-for-file-sharing-and-accessing-files-away-from-your-computer.html.  Up to 2GB is free.  You can also back up up to 50GB for 9.99 monthly.  I discussed other backup sites in my blog on backing up.  
  4. Make sure your security and anti virus, anti spyware software are current and up to date.  If not, your computer is an open target for new viruses, malware, etc.
  5. You also want to check your hard drive about monthly to fix file system errors and recover bad sectors on your hard drive.  This may take several hours so make sure you will not need your computer for a while.  Select "Computer" or "My Computer" Select "C:" and right click on and select "Properties" and then select the "Tools" tab. You then select Error Checking. Select automatically fix file system errors and scan and attempt recovery of bad sectors.  When you get the prompt asking if you want to run this the next time you start your computer, select yes.  Then restart your computer. Again, it may take a while to run.  
By following these steps you will help to extend the useful life of your computer.
